Identifying sellers

I buy stamps from several web sites and most except eBay seem to have a problem ,IE sellers never include an invoice or any identification as to which site your purchase came from .When you have 20/30 lots outstanding and you receive one you have to go chasing through your sites to try and see were your purchase was made.
Surly it's not too much trouble to put in a slip of paper with some information on even which site would help.

  • I agree with you, Brian. I always include a complete packing slip with all shipments no matter from which web site my sale occurred.

  • Agree 100%! I always include a packing slip with the Hipstamp logo and I also send a separate Email the day shipment is made. I sometimes buy from eBay, and several times I received my order...and nothing else except a return address on the enveloppe, the only way to identify the shipment.

  • Well I guess I'm one of those sellers! :smile:

    I don't include a packing slip in my orders. I do handwrite their order on the card. Unless it is a big order and then I'll print out an invoice. I want to feel I'm saving many trees because more than likely the piece of paper ends up in the trash bin. Computers were supposed to eliminate the paper waste, so I choose that route.

    Now Brian has made me aware that some customers buy from more than one site (yes, I do need a head bonk every now and then!) so I have added Hipstamp to my note to the customer.

    None of my customers has said anything about not receiving an invoice. I guess they are accepting of my process.

    I've been selling on both Ebay (since 1997) and here since 2007. Total combined feedback over 10,000 and I have had only one customer request an invoice. I mailed it to him along with a note of apology mentioning that he could also find it online. He emailed me back thanking me because he was not aware how easy it was to look it up.

    Pre internet (1984-1996) I was selling off a mailing list and a small sporadic auction a few times a year and I did include an invoice because a paperless one was not available..

    Yesterday I saw my doctor and noted that the usual 3 page visit summary had ballooned to 7 pages. When I asked why the receptionist said it was the result of an attempt to standardize data to eliminate waste !!!!
  • Carol, funny thing about those medical papers! Rich had to go to the ER and the ER clinic and the paperwork that generated makes one shake their heads. But, all the doctors and nurses walk around with an iPad with all your info. He now has a home file folder with just the crap, er, info on all the visits.

    And I always check with the online invoice as that has the picture of the stamp and the printed sheet does not. Helps with the ID'ing for the albums. IDK, maybe it's just me. No smart phone, but I do depend on the computer!
  • I have really appreciated the sellers I have purchased stamps from on here. They have all sent invoices with my order. It does make knowing where the order came from easier. I also like the way Hipstamp keeps a running pictorial and descriptive record of purchases on here. Excellent!

    I like to use the paypal payment letter as the basis for a cut and paste packing slip/invoice/ thank you email that I print a copy of to enclose when I ship, and I also like to enclose a pricelist of some sort so i can tempt my customer with other stamp goodies. It doesn't take much time and can lead to additional sales.

  • My approach is similar to Carol's and Luree's. I hand write the information, identifying myself and HipStamp, if it's a low value order and no more than 3-4 items. Otherwise, I print a packing slip, usually a half sheet of paper with a handwritten "thank you."
  • I always include a packing slip with every sale, no matter the number of items sold.
    It shows my name, address and email plus customer's name and address. I cut and paste the listing description and Hipstamp item number.
    I also show my return address on the envelope (something a few sellers still do not do).
    The buyer never has to guess.

  • During the BIDSTART days - I never included an invoice because it would be too large to include in a small envelope. Since Hipstamp started - I include a copy of the invoice because they print out much smaller and I can reduce the image and print two pages on one page for larger orders to keep the paper smaller to include with the order. On other sites I sell on - it depends on the order - but I would always identify what site it was from and include an order or invoice # so it could be identified.
  • The packing slip includes vital information that would be used by the post office should something happen to the envelope. That is the sender's name and address and the recipient's name and address. If the envelope gets damaged, and there is no information inside as to from whom it was sent or to whom it is going, the post office won't be able to deliver or return the envelope. Seller's will probably wind up paying a refund to the buyer for non-delivery.
